Position Overview:

The Sales Coordinator supports the Sales and Marketing Department in addition to Front Office/Reservations. This position reports to the Sales and Marketing Strategist, adheres to company standards, and accepts other responsibilities as assigned.

This is a Part Time position- position will turn to Full Time

Key Responsibilities:

  • Maintain complete knowledge of hotel operations, scheduled daily activities, and comply with all departmental policies/service procedures/standards.
  • Support Sales, Marketing and Front Office team administratively including correspondence, preparing reports, and assisting with reservations and on property activations.
  • Provide telephone and message support for the department and respond to inquiries in a timely, clear, and pleasant manner. Exercise decision making skills to direct
  • Maintain client profiles, contacts and additional essential records used in the Marketing and PR reportings.
  • Assist the Sales, Marketing, and PR team with the preparation of contracts, proposals and addendum's, operational resumes, programming agendas and track the completion status for accurate reporting.
  • Act as liaison between the Sales and Marketing departments with clients and internal stake holders; facilitating partner requests, media inquiries, special request, vendor scheduling and booking inquiries via email and phone.
  • Block group & meeting space specifications and ensure that accurate information is collected and entered in the reservations system. Ensure accurate information for Group Billing, Resumes, and Delphi systems.
  • Assist with on property marketing activations and brand initiatives.
  • Communicate with all hotel departments as appropriate. Ensure prompt attention to time sensitive requests by hotel management.
  • Create and distribute hotel and restaurant gift certificates
  • Update Opera System to ensure guest profiles are accurate (Arrival Times, Preferences, Biography etc.) and manage group rooming lists.
  • Complete additional projects as assigned.
  • Based on inhouse group needs- a flexible schedule is a must. You may be required to work weekends and evenings to support group functions.

Required Qualifications:

  • OPERA Cloud working knowledge a plus.
  • Is self-directed, motivated and demonstrates intuitive customer service and interpersonal skills.
  • Effectively deals with internal and external customers, with high levels of patience, tact, and diplomacy.
  • Communicates clearly, concisely, and openly in all interactions.
  • Have exceptional attention to detail, organizational, analytical and time management skills.
  • Multi-tasks and prioritizes in a fast-paced work environment.
  • Exercises sound judgment evaluates situations and utilizes appropriate and creative resources to solve problems.
  • Is technologically savvy, with a working knowledge of Microsoft Office, Delphi, and Opera Preferred.

Physical Requirements:

  • Ability to transport up to 20 lbs. occasionally, sit for extended periods of time, walk, and stand throughout the shift.
  • Education: High School Diploma required; Bachelor's Degree preferred.
  • Experience: 1-2 years administrative support experience in hospitality, marketing, entertainment and or public relations is preferred.
  • Grooming: All colleagues must maintain a neat and well-groomed appearance (specific standards will be provided).
  • Able to work independently and as part of a team.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules (including Holidays and weekends) to reflect the business needs of the hotel.

Wage Rate: $30.30 per hour
