Villa Owner Relations Coordinator

Description

The Villa Owner Relations Coordinator is a key member of the Villa Operations team and reports directly to the Senior Manager of Villa Operations. This role is responsible for the day-to-day property management of villas within the Resort’s Rental Management Program and plays a central part in maintaining strong communication with Villa Owners, coordinating with internal Resort departments, conducting villa inspections, and working closely with third-party vendors to ensure proper maintenance. The ideal candidate will be highly organized, professional, and able to manage complex tasks while communicating clearly and effectively.

Primary Responsibilities:

  • Manage incoming phone calls and provide timely, professional assistance to Villa Owners and vendors.
  • Oversee the department’s organizational email inbox, ensuring all messages are addressed promptly.
  • Coordinate and manage the villa work order and ticketing system to ensure timely resolution of maintenance items.
  • Assist Villa Owners with reservation requests and related needs.
  • Communicate with third-party vendors to schedule appointments and meet on-site as necessary.
  • Prepare and issue keys for approved vendors.
  • Support the Resort’s Membership Program, including the preparation of membership cards and guest passes.
  • Coordinate with Housekeeping and Engineering teams to schedule maintenance, inspections, and service needs.
  • Communicate with Villa Owners regarding required maintenance, operational updates, and items needing attention.
  • Assist with placing villas out of service for scheduled maintenance or emergency needs.
  • Utilize strong problem-solving skills to troubleshoot and resolve issues within the villas.
  • Assist with month-end accounting tasks related to owner revenue reconciliation.
  • Occasionally communicate with Resort guests to support resolution of maintenance concerns.
  • Conduct routine villa inspections and prepare corresponding reports, including owner arrival checks, post-departure inspections, renovation completion reviews, annual grading, and more.
  • Perform other duties as assigned.

Required Skills & Qualifications:

  • Strong verbal and written communication skills with an emphasis on clarity and professionalism.
  • Ability to multitask and excel in a fast-paced environment.
  • Creative and effective problem-solving abilities.
  • Ability to work respectfully and collaboratively within a dynamic team.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Experience with property management software and work-order systems strongly preferred.

Schedule: This position requires availability Thursday through Monday, 9:00 a.m. – 5:30 p.m.
